The client is a certifying body for pediatric dentistry and one of the nine specialty boards recognized by the American Dental Association. It offers certification programs that verify a pediatric dentist’s knowledge, skills, and experience to ensure high-quality care.
Business Situation and Requirements
The client had an online platform where dentists could apply for certifications, schedule exams (online or offline), and check the status of their certificates.
Aiming to modernize their existing platform, they envisioned a SaaS solution that could serve multiple online certification providers in the pediatric dentistry domain. With Unthinkable’s expertise in healthcare domain, the client trusted us to take over and streamline the workflows as per the industry standards.
Their requirements include:
Scalable Application Architecture: Build a robust, high-performing platform capable of training a large number of dentists simultaneously without affecting user experience.
Role-Based Access Control: Implement a system with different roles (super-admin, admin, applicant, etc.) with tailored permissions and data access.
End-to-End Certification Automation: Automate the certification process, enabling applicants to apply for exams, make payments, download course materials, and track certifications online.
Assessment and Feedback Management: Allow managers and admins to review submitted results, assess assignments, and provide feedback to applicants.
Two-Way Communication Channel: Integrate messaging features to enable applicants to communicate directly with admins regarding queries or results.

Solution
Our team began by conducting a comprehensive assessment of the existing ASP.NET-based solution. Our UI experts leveraged design-thinking methodologies and role-based user stories to craft an intuitive and user-friendly application interface.
Scalable Role-Based SaaS Certification Management System for Pediatric Dentistry:
A comprehensive online platform designed to automate the entire certification lifecycle, enabling applicants to apply for exams, make payments, and track certification status and validity. Built as a multi-tenant SaaS solution, it supports multiple certification providers and efficiently manages thousands of users through clearly defined role-based access.
Super Admin
The Super Admin has full access to all clients (online certification providers) using the Robust Online Certification Program (ROC-P). This role is responsible for onboarding new clients by configuring details such as client type, affiliated board (dental or medical), activation status, portal URL, payment gateway settings, and other system configurations. The Super Admin can also update or deactivate client accounts, manage client information, and assign additional Super Admins to oversee and administer the platform.
Client Admin
The Client Admin represents an online certification provider responsible for managing exams, applicants, and certifications through dedicated platform modules.
Question Bank Management: Create and manage question banks for pediatric dentistry exams, defining question types (objective or subjective), correct answers, associated exams, and supporting files (images, PDFs, documents, etc.). A built-in version control system tracks all changes, highlighting modified parameters such as question text, attachments, or distractors, with a complete audit log of updates.
Secure System Access: All client–server communication is encrypted to ensure system integrity and prevent unauthorized access to sensitive data, including examination content.
Oral and Written Exam Setup: Configure both oral and written examinations. For oral clinical exams, a custom algorithm was implemented to eliminate conflicts between examiners and candidates based on client-defined conditions. Complex SQL procedures were designed to evaluate multiple constraints efficiently, with performance optimized through collaborative refinement sessions with the client.
e-Learning Module: Build customized courses by combining text, videos, images, and practice questions to create engaging and structured learning experiences.
Custom Learning Paths: Define rules and restrictions for course progression and content access to control how learners complete courses.
Exam Results Management: Display results for both offline and online exams. Offline exam results are published once assessments are completed, while online exam results are shown immediately upon submission. For subjective or hybrid exams, results are released only after thorough evaluation.
Communication Channel: Enable email-based communication using Twilio to facilitate effective interaction with candidates.
Payment Management: View and manage candidate payments, including voiding or issuing refunds. The payment workflow is securely handled through Authorize.Net.
Applicant: Applicants are provided a dedicated login by the Client Admin to access their certification details, including requirements for obtaining or maintaining certificates, certificates they have earned, eligibility to contribute to the exam bank based on their certifications and grades, and their past exam results and performance history.
Impact
Our technical leadership in designing the project-level architecture, spanning system design, infrastructure, and data management, enabled the client to launch a robust online certification platform.
The solution has streamlined certification issuance, with over 10,000 certifications granted and hundreds more in progress. The client has expressed high satisfaction with Unthinkable’s execution and continues to plan further enhancements to the system.
